My Day

My Day is a single-page workspace for staff members running their bookings. It brings together the day's schedule, the embedded video room, shared profile notes, and your own private notes on a single screen, so you do not need to move between tabs as attendees come and go through their bookings.

My Day is most useful for staff who have online bookings in their day, since the video room is embedded directly in the page. If you also have in-person bookings on the same day, they appear in the timeline alongside the online ones, so you can see the full day in one place and use the notes and status features regardless of how each booking is being held.

Opening My Day

My Day is available from the account menu, and is also linked from the staff calendar feed and from the printed staff timetable for online events. Opening the page loads today's bookings and prepares your video room.

Layout

My Day is split into two areas. The timeline sits on the left of the page, and the video room sits on the right.

Timeline

The timeline shows your day's bookings and breaks in time order. Each item in the timeline includes the slot time and duration, the attendee name, and the student the booking relates to if one was specified. For bookings where the attendee is linked to a profile, you will also see any profile notes that other staff have left, along with any of your own private notes for this booking, and the responses the attendee gave on the registration or booking forms.

A live indicator shows which slot is currently active. One minute before a slot ends, a soft chime plays; another plays at the end of the slot. A countdown on the current booking turns amber as the slot approaches its end, and red once it has officially ended, which makes it easier to keep to time without constantly watching the clock.

Video room

Your persistent video room is embedded to the right of the timeline. Attendees join the room around their booked time and leave when their slot ends, while you stay in the same room for the whole session.

Notes

Two kinds of notes are available on each booking.

Profile notes are attached to the attendee's profile and are visible to every staff member who meets with this family in any event. Use profile notes for context that everyone running a meeting with this family should know, such as communication preferences or shared context across siblings. Profile notes persist across events, so a note added during one conferencing cycle remains useful at the next.

My notes are private and are only visible to you. They are attached to the specific booking rather than the profile, and are useful for personal follow-up reminders after the meeting has ended.

Marking a booking complete

Each item in the timeline has a status picker that lets you record the outcome of the meeting.

  • Completed: when the meeting happened as expected
  • No-show: when the attendee did not arrive, and a clear option to remove any previously set status.

Statuses are saved immediately and are used in reporting.

Tips

  • Opening My Day a few minutes before your first meeting gives your video room a chance to be provisioned before any attendees try to join.
  • Keep profile notes short and factual, because they are shared across staff and tend to read better when they stick to concrete information.
  • Marking no-shows as they happen keeps reports and any feedback follow-up emails accurate, and avoids reconciliation work after the event.
