Reminders
Schoolea sends reminder emails automatically. There is nothing to configure on a per-event basis: every event with bookings receives daily morning reminders for the people who have something booked that day, and staff receive a post-event summary the morning after their last meeting day.
Reminders are only sent to attendees or staff who:
- have at least one booking on the day the reminder covers, or in the case of post-event summaries, who had at least one booking on the event
- have not opted-out of receiving emails from Schoolea
- have a valid email address
Reminders go out at 5 AM in your school's local time zone, set in Account Settings.
If your subscription lapses, attendee reminders keep going out for the 14-day grace period so families with existing bookings still hear from you. Reminders to staff stop immediately. Once the grace period ends all reminders stop.
What gets sent
Daily attendee agenda
On any day where an attendee has at least one booking, they receive an email at 5 AM listing what is happening for them that day, with the full timetable included The email also flags how many more bookings they have tomorrow if there are any, so families running across multiple days know what is still ahead.
Daily staff agenda
Staff with at least one booking on a given day receive their own version of the same email. It is scoped to the bookings they are running that day, with the full timetable attached and a count of any bookings still to come the next day.
Post-event staff summary
The morning after the last day of the event, every staff member who had at least one booking on the event receives a summary email. The summary includes their bookings together with any notes they wrote during the event from the My Day console and any notes the attendees had on their profile. The summary is delivered as an attached PDF so staff can keep their own record of the conversations they had, or refer back to the notes when following up with families later.
